Administrative Assistant

Position Type: Part-time, Contract. Ending December 2025

Jessie’s – The June Callwood Centre for Young Women is a multi-service resource centre for pregnant young women, young parents and their children. Jessie’s work includes a broad spectrum of services addressing issues related to the social determinants of health. Jessie’s operates from a feminist perspective and is a pro-choice organization that supports a woman’s right to make choices about her sexual health and pregnancy options.

Jessie’s is looking for an Administrative Assistant to be responsible for the general reception area, and will be the first point of contact for visitors and callers to the Centre.

Reporting: The Administrative Assistant reports directly to the Executive Director.

Responsibilities

Service Delivery Tasks

  • Providing receptionist services and redirecting calls appropriately

  • Responding to incoming business or general agency information calls

  • Logging daily attendance in Penelope system as participants sign in

  • Keeping Penelope schedule up-to-date by noting staff absences/lates and any cancelled appointments, and ensuring all staff meeting, events, and stat holidays are reflected in the schedule well in advance

  • Referring callers to alternative community services as appropriate

Administrative Tasks and Office Management

  • Gathering invoices from the mail or from staff into a file and submitting to the Financial Administrator

  • Preparing and/or formatting program flyers and other publications (manuals, presentations, reports, website content) as needed

  • Establishing and maintaining accurate and efficient hard copy and computer filing systems for all administrative and statistical information

  • Ensuring that the photocopier, fax machine, and postage meter are maintained

  • Maintaining, purchasing, and organizing office and program supplies (TTC Tokens, Vouchers) as necessary or as directed by the Executive Director

  • Setup and maintenance of technology such as email accounts and phone system.

  • Maintaining Jessie’s online presence through website and Social Media

Qualifications

  • Ability to maintain calm in a high-pressure environment

  • Strong computer skills in Microsoft Office, as well as Data Entry systems

  • Strong communication and organizational skills

  • Commitment to maintaining confidentiality

  • Experience working with members of diverse communities

  • Some experience in a Reception/Administrative environment an asset

  • Fluency in Spanish or French an asset
